AI order processing automation from inbox to invoice
AI Order Automation reads the purchase orders your customers send as emails, PDFs, spreadsheets and portal uploads, turns each one into a sales order in your ERP, checks it against the credit and risk rules you set, raises the invoice and follows up when the due date passes. Your order desk stops retyping and starts handling the orders that genuinely need judgment.

What AI Order Automation is and who it is for
AI Order Automation is the order-to-cash member of our finance automation family, built for manufacturers, distributors, trading companies and any operation where hundreds of customer purchase orders arrive each week in whatever format the customer prefers. It uses the same multi-model pipeline as our payables and receivables products: one model extracts the order, a second validates it against your customer, item and price master, and a third applies your risk rules. Results stream to the order desk as each order moves rather than at the end of a batch.
It is bought as a subscription priced on order volume, and the extraction, ERP posting and dues follow-up modules can be enabled together or in stages. Microsoft Dynamics 365 Business Central is the reference ERP, connected through an AL extension that creates customers, sales orders and invoices natively; other ERPs are connected through their APIs during implementation. For Gulf and Indian clients the invoicing stage is designed to work alongside UAE e-invoicing program from 2026, Saudi ZATCA Fatoora and Indian GST e-invoicing, handing invoice data to your accredited e-invoicing provider rather than replacing it.
We implement from Chennai and Abu Dhabi for India, UAE and Saudi Arabia, and from New Jersey for United States. The order extraction draws on our intelligent document processing practice, and the agentic routing of exceptions on our agentic process automation work.
What AI Order Automation does with each order
Four capabilities, from the moment a purchase order lands to the moment its invoice is paid.
ERP integration
Keeps customers, items, prices, orders and invoices synchronized between the product and your ERP, so an order created here is the same record your warehouse picks and your finance team invoices. Business Central is native; other ERPs are connected during implementation.
Order creation
Extracts customer, delivery address, line items, quantities, prices and requested dates from emails, PDFs, spreadsheets and portal downloads, maps customer part numbers to your item codes and creates the ERP sales order. Low-confidence fields are highlighted for a quick check before posting.
Risk validation
Checks each order against the rules you configure: credit limit and overdue balance, price and discount tolerances, minimum quantities, blocked customers and unusual delivery addresses. Orders that pass post automatically. Orders that fail wait in an exception queue with the reason stated.
Invoice and dues
Generates the invoice when the order is fulfilled, hands structured invoice data to your e-invoicing provider where a regime requires it and triggers reminder sequences when payment is overdue, with promises to pay recorded for the collections team.
How AI Order Automation works, step by step
Five steps, running continuously. The order desk watches orders move through them and intervenes only where the queue asks.
- 01
Receive the sales order
Purchase orders arrive from mailboxes, portals and folders and are classified, split and queued with the source attached.
- 02
Create the ERP order
Extracted fields are validated against your masters, part numbers mapped and the sales order created in the ERP.
- 03
Validate risk
Credit, price, quantity and customer rules are applied; failures go to an exception queue with the reason and evidence.
- 04
Generate the invoice
On fulfilment the invoice is raised in the ERP and structured data passed to your e-invoicing provider where required.
- 05
Follow up on dues
Overdue invoices trigger reminder sequences, and payments are picked up by AR Automation if you run it alongside.
Product note on scope
AI Order Automation complements AR Automation. It creates orders and invoices and follows up on what is due; it does not apply receipts to invoices or match remittances, which is AR Automation's job. The two share a data model, so running both gives you the complete order-to-cash cycle without a reconciliation between them. Order formats, ERP fit and the risk rules you want enforced are confirmed during discovery.

AI Order Automation starts the cash cycle. Its siblings handle supplier invoices, customer receipts and the ERP that all three post to.
AP Automation
Reads supplier invoices from email and scans, matches them to purchase orders and receipts through a three-tier cascade, catches duplicates and routes approvals before ERP posting.

Our customers send orders in dozens of formats. Can AI Order Automation read them all?
It reads emails, PDFs, scanned images, spreadsheets and portal downloads, and it learns each customer's layout from examples rather than needing a template per customer. Customer part numbers are mapped to your item codes once and remembered. The honest caveat is that handwritten or very poor scans still need a person, and the product flags them instead of guessing.
How do the risk rules work, and who maintains them?
Rules are configured by your finance and sales operations teams in plain settings: credit limit and overdue thresholds, price and discount tolerances, minimum order quantities, blocked customers, new delivery addresses. Each rule states what happens on failure: hold for review, route to a named approver or reject with a reply. You own the rules; we help you set the first version during the pilot.
Does it work with Business Central only?
Business Central is the reference integration, built as an AL extension that creates customers, sales orders and invoices natively. Other ERPs are connected through their APIs or file interfaces during implementation, and the effort depends on how your item master and pricing are structured. We confirm the fit in discovery before quoting, and we tell you plainly if your ERP needs more work than usual.
How does AI Order Automation handle e-invoicing in UAE, Saudi Arabia and India?
It is designed to work alongside those regimes rather than replace your accredited provider. When an invoice is raised, the product hands structured invoice data to your e-invoicing platform for clearance or reporting under UAE program from 2026, Saudi ZATCA Fatoora or Indian GST e-invoicing, and records the result. We do not claim certification under any of them.
Do we need AR Automation as well?
Not to start. AI Order Automation on its own creates orders, raises invoices and sends overdue reminders. If applying customer payments to invoices is also a pain, AR Automation adds cash application with the same data model and ERP connector, so adding it later is an entitlement change rather than a new project. Many clients begin with whichever side of the cycle costs them more time.
What does a pilot look like and how long does it take?
We take a month of your historical purchase orders for a handful of customers, run them through extraction and your draft risk rules, and show you the orders that would have posted automatically and the exceptions you would have seen. That replay typically takes a few weeks and needs read access to your customer, item and price masters. The live ERP connection follows once the results satisfy you.
