Accounts payable automation software that reads, matches and posts
AP Automation takes supplier invoices from the mailbox and the scanner, extracts header and line data with document AI, matches each one against vendor master, purchase order and receipt records, flags duplicates and routes what needs a human decision. Clean invoices reach your ERP without anyone retyping them. Exceptions reach the right approver with the evidence attached.

The interactive demo will follow supplier invoices from intake through AI extraction, matching and approval to ERP posting, with an AI guide that answers questions by text or voice.

What AP Automation is and who it is for
AP Automation is the payables half of our finance automation family, built for accounts payable departments and shared-services finance teams that handle invoice volumes high enough for retyping and chasing to be a real cost. It is a multi-model AI pipeline: one model extracts, a second validates against your master data, a third proposes the match, and the services stream results to each other so the reviewer's screen updates as the invoice moves rather than at the end of a batch.
The product is bought as a subscription priced on invoice volume, with the extraction, matching and approval modules available together or separately. It ships with a Microsoft Dynamics 365 Business Central connector for the procure-to-pay flow, built as an AL extension, and connects to other ERPs through their APIs or file interfaces during implementation. Finance teams in the Gulf should read it alongside UAE e-invoicing program that begins in 2026 and Saudi ZATCA Fatoora, and Indian teams alongside GST e-invoicing: the product is designed to work alongside those regimes, consuming the structured invoice data they produce, not to replace your e-invoicing provider.
We implement from Chennai and Abu Dhabi for India, UAE and Saudi Arabia, and from New Jersey for United States. The document AI comes from our intelligent document processing practice and the Business Central work from our Business Central team.
What AP Automation does with each invoice
Four stages, each one visible to the AP team as it happens, each one logged for the auditor.
Invoice intake
Watches shared mailboxes and scan folders, separates invoices from statements and marketing, and handles PDFs, images and the structured XML that e-invoicing regimes produce. Multi-page and multi-invoice files are split before extraction starts.
AI extraction
Reads supplier, invoice number, dates, tax breakdown and every line item, including Arabic and bilingual invoices. Fields carry a confidence score so low-confidence values are highlighted for a quick human check instead of silently posted.
Validation and matching
Checks the supplier against your vendor master, then runs a three-tier matching cascade: exact match on PO and receipt first, fuzzy match on amounts and descriptions second, AI-assisted matching third. Anything the cascade cannot settle goes to a person. Duplicate detection runs across supplier, number, amount and date.
Approvals and ERP posting
Routes exceptions and approvals by the rules you set (amount, cost center, variance), then posts approved invoices to the ERP with the source document attached. Status flows back so AP can see what is posted, held or paid.
How AP Automation works, step by step
Four steps. The AP team sees each invoice move through them in real time, and can step in at any point.
- 01
Capture the invoice
Email attachments, scans and e-invoice XML arrive in one queue with the source and receipt time recorded.
- 02
Extract invoice fields
Document AI reads header and line data and scores its own confidence, so reviewers look only where it is unsure.
- 03
Validate and detect duplicates
Vendor master, PO and receipt checks run with the matching cascade, and duplicates are held before they reach approval.
- 04
Approve and hand off to the ERP
Approvers act on exceptions in the queue; approved invoices post to Business Central or your ERP with the document attached.
Product note on ERP fit and approvals
ERP compatibility and the exact approval workflow are confirmed during discovery. Business Central is the reference integration; other ERPs are connected through their published APIs or file interfaces, and the effort depends on how your purchase orders and receipts are recorded today. The product is designed to work alongside e-invoicing regimes in UAE, Saudi Arabia and India; it is not an e-invoicing clearance provider and we do not describe it as certified by any of them.

Which ERPs does AP Automation post to?
Microsoft Dynamics 365 Business Central is the reference integration, built as an AL extension that covers the procure-to-pay flow. Other ERPs, including Dynamics 365 Finance, SAP, Oracle and Tally-class systems common in India, are connected through their APIs or file interfaces during implementation. We confirm the fit in discovery by looking at how your POs, receipts and vendor master are actually recorded.
How does the three-tier matching cascade work?
Every invoice is first matched exactly on PO number, supplier and amount against the receipt. If that fails, a fuzzy tier compares amounts, descriptions and dates with tolerance rules you set. If that still leaves doubt, an AI-assisted tier proposes a match with a confidence score. Anything below your confidence threshold is queued for a person, with the evidence shown side by side.
Does AP Automation handle UAE, Saudi and Indian e-invoicing requirements?
It is designed to work alongside them. UAE e-invoicing program from 2026, Saudi ZATCA Fatoora and Indian GST e-invoicing all produce structured invoice data, which the intake stage consumes directly, reducing extraction errors. Clearance and reporting to the tax authority remain with your accredited e-invoicing provider; AP Automation is not a clearance platform and we do not claim certification under any of these regimes.
Can it read Arabic and bilingual invoices?
Yes. We have run Arabic invoice extraction feasibility work using several vision models with a judge model selecting the best reading, and the product applies the same approach to Arabic, English and mixed-language invoices. Extraction accuracy is measured on your own supplier invoices during the pilot, not quoted as a percentage, because supplier templates and scan quality vary.
How long does implementation take, and what do you need from us?
A pilot on one entity and a sample of suppliers typically runs a few weeks: we need a mailbox or folder of historical invoices, read access to vendor master, PO and receipt data, and your approval rules. From there we agree extraction and matching thresholds, connect the ERP and expand supplier by supplier. Timelines depend mostly on ERP access and approval complexity.
Where is invoice data stored?
In the deployment we set up for you, which can be in-region cloud for UAE and Saudi Arabia, in India for Indian entities, or inside your own cloud account where a regulator or group policy requires it. Documents and extracted data stay in that environment, and the ERP connector moves only the posting data. We confirm the residency arrangement before the pilot starts.
